About Ortaire
Ortaire LLC (“Ortaire,” “we,” “us,” or “our”) is a California limited liability company that provides AI governance resources and consulting services designed to help organizations develop and operationalize responsible AI governance practices.
This Privacy Notice explains how we handle personal information in connection with www.ortaire.com and related webpages (the “Website”) and the materials, assessments, workshops, and services we make available (each an “Offering”).
For the purpose of this Privacy Notice, “you” means the individual using the Website. “Customer” means the party that accepts our Terms of Use for an Offering.
Terms of Use
Our Offerings are intended for business, professional, institutional, and organizational use, not for personal, family, or household purposes.

Updates
We may update this Privacy Notice from time to time. The effective date shown at the beginning of this Privacy Notice identifies the version then in effect.
If Ortaire makes any material changes to this Privacy Notice, we will provide a separate notice to the affected individuals or parties as required by applicable law.

As used in this Privacy Notice, “Personal Information” means any information that identifies or could be used to identify an individual person. The types and categories of Personal Information we collect or process, directly and indirectly, include:

We do not ask you to provide sensitive information through ordinary Website interactions. Do not provide credentials, Social Security numbers, health information, sensitive financial information, or other sensitive information unless it is reasonably necessary for an Offering and appropriate safeguards have been agreed with Ortaire.

Use of Information
We use Personal Information as reasonably necessary to:
- respond to inquiries and communicate with you;
- provide Offerings and perform related services;
- administer purchases and maintain transaction, billing, accounting, and tax records;
- promote our services through social media, newsletters, blogs;
- send email and marketing communications;
- operate, maintain, improve, secure, and enable technical support for the Website;
- prevent fraud, misuse, or unauthorized activity;
- maintain appropriate business records;
- comply with our obligations and legal requirements;
- exercise or enforce our contractual and legal rights; and
- manage any other purpose for which you provide it or with your consent.
Artificial Intelligence
We typically do not use Customer Personal Information when we work with generative artificial intelligence tools. If we need to, we use only enterprise-level or similarly secured generative artificial intelligence tools, and we take reasonable steps, such as masking data or removing personal identifiers, so that the tool does not process Customer Personal Information.
We don’t use Customer Personal Information to train, fine-tune, or otherwise develop our own artificial intelligence or machine learning model.
Disclosures
Depending on the services we use, we may disclose Personal Information to:
- Hosting and infrastructure providers
- Payment processors
- Email and communications providers
- Video-conferencing or scheduling providers
- AI service providers, where applicable
- Professional advisors, including accountants and lawyers;
- Government authorities or other parties where required by law or reasonably necessary to establish, exercise, or defend legal claims; and
- A buyer, successor, or other relevant party in connection with a merger, financing, reorganization, sale of assets, or similar corporate transaction.
When we enter into an agreement with a service provider that processes Personal Information for us, we require them to take the appropriate actions to protect it and use it only for permitted purposes.
Cookies and Storage
The Website currently uses cookies and similar online technologies that are strictly necessary or functional for the Website, its security, and its Offerings, including local or session storage used. These cookies last for the browser session and are not used for advertising or analytics.
Our hosting and security providers, including Webflow and Cloudflare, may also receive standard technical information when you access the Website, such as your IP address, requested URL, date and time of the request, browser and device information, and referrer information where available.
We currently do not use analytics, advertising cookies, retargeting technologies, or similar analytics or tracking technologies. If we introduce analytics or other non-essential technologies, we will update this Privacy Notice and provide any notice or choice required by applicable law before activating them.
International Transfers
Ortaire currently operates from the United States and does not intentionally transfer Personal Information outside the United States.
If our operations or service provider arrangements later involve international transfers of Personal Information, we will use safeguards required by applicable law and update this Privacy Notice as appropriate.
Data Retention
We retain Personal Information only as long as reasonably necessary to provide our Offerings, maintain business and transaction records, comply with legal and accounting obligations, resolve disputes, and protect our legal rights.
Security
We use reasonable administrative, technical, and organizational safeguards designed to protect Personal Information.
No website, electronic transmission, or storage system is completely secure, and we cannot guarantee absolute security.
Privacy Rights and Choices
You may contact us at hello@ortaire.com to ask about Personal Information we hold about you or to exercise your privacy rights, including the rights to request access, correction, or deletion.
You may also contact us at hello@ortaire.com to opt out of marketing emails, or you can unsubscribe directly by exercising your rights through the marketing email correspondence.
Where applicable law gives you specific privacy rights, we will respond as required by that law. We may need to verify your identity before completing a request.
We may retain information where permitted or required by law, including where reasonably necessary to maintain transaction or business records or establish, exercise, or defend legal claims.
Children
The Website and Offerings are intended for business and professional use and are not directed to children.
We do not knowingly collect Personal Information from children. If we learn that Personal Information from a child has been collected in circumstances where it should not have been, we will take appropriate steps in accordance with applicable law.

Addendum: EEA, UK, and Switzerland
Where EU, UK, or Swiss data protection laws apply to Ortaire’s processing of your Personal Information, this section provides additional information.
Depending on the circumstances, Ortaire generally acts as a controller of Personal Information collected directly through the Website or in connection with its own business activities.
Where Ortaire processes Personal Information solely on behalf of a Customer in connection with an engagement, Ortaire may act as a data processor.
Legal Bases
Where EU or UK data protection law requires a legal basis, we may rely on:
- Contract, where processing is necessary to provide an Offering or take steps you request before entering into an agreement.
- Legitimate interests, including responding to business inquiries, operating and securing the Website, maintaining appropriate business records, and generally operating our business.
- Legal obligations, where processing is necessary to comply with applicable law.
- Where we rely on your consent, we will specifically ask for it. You may withdraw your consent at any time without affecting processing that occurred before your withdrawal.
Privacy Rights
Depending on the law that applies, you may have rights concerning your Personal Information, including rights to access, correct, delete, restrict or object to certain processing, request portability, or withdraw consent.

Automated Decision-Making
Ortaire does not use automated decision-making about individuals that produces legal or similarly significant effects.

If Personal Information subject to EU, UK, or Swiss data protection law is transferred internationally, Ortaire will use safeguards required by applicable law where necessary.
